We made some updates to the calls so that updates are processed in a timely manner if jobs are taking a long time to run, so duplicates aren’t created.

At-Home Assessments
We have ensured that reference to a specific organization is removed in patient messaging in both English and Spanish.
Inclusive Language
In certain questions, we have slightly altered the language to be more inclusive towards non-binary individuals. The changes primarily appear in the youth assessments, as they are the assessments that universally include questions that a third party would respond to about the patient (e.g. parent or guardian).

New Version
We have created a new version of the Primary Care Assessment which can now be used by providers. This includes suicide risk warnings, if administered at home, as well as cssrs1 and cssrs1u from the Columbia-Suicide Severity Rating Scale.
Substance Use
We corrected an issue where the v7 assessment had an option under the drug question for alcohol, tobacco, and marijuana when it should be excluded.
Youth Assessments
For our youth assessments, we no longer prevent a patient or a guardian/parent (proxy) from completing an assessment when informant mode is used and the patient already took an assessment.

Access Log
We have made the following updates to the access log:
We now create a log entry when a password is reset.
We’ve updated logging of sign-in failure entries to check username/email to be known before adding the log-in since the access log is intended to show activity from known user accounts.
Cron Log
We have ensured that the AMD Cron Log does not contain any PHI.
Cloverleaf
We have created the ability to send the following fields to cloverleaf:
the date and time of the booked appointment
the provider the appointment was booked with
for the provider the appointment was booked with, the first available appointment at the time the appointment was booked, that was not today
Manage Survey Rule Notifications
In the Manage Roles setting, we have added a new role permission titled “Manage Survey Rule Notifications”. If set to “on”, those with the corresponding role will receive trigger notifications for Suicide and Harm alerts. If the permission is off, the corresponding role will not receive any notifications about Suicide or Harm alerts.

Manage Users

Patient Notifications
Editing Patient Profiles
If at-home functionality is not enabled for an organization, the notifications for patients will not be defaulted to “on”. Previously, this would act as an obstacle for certain providers from editing their patients. Now, if both the at-home assessments and video settings are disabled for the organization, the notifications tab will be hidden in the Patient Edit modal and will not affect a provider’s attempt to edit a Patient Profile. This is going to create an extra step when creating the patient profile and editing a patient profile for end-users.

Renaming a Patient Notification via Manage Organization
We corrected the name of the setting "Enable Patient Appointment Cancellation Notification" to "Enable Patient Appointment Reminder Notification". This is only available to permitted users.
React Refactor
We refactored the following areas to react, so we can expand future functionality to be incorporated in a more user-friendly view:
Cloverleaf
React components allow you to separate the user interface into separate pieces they can be reused and handled independently. There aren’t any changes to the functionality of these areas; there may be some formatting changes made for consistency or improved user experience. This is only applicable for permitted users.
Reset Expiration
We’ve added a behind-the-scenes Organizational setting that allows integrated client providers to click a “Reset Expiration” button on the patient’s profile via the Assessments tab to allow the patient extra time to take the assessment. It will replace the “Resend” button in a non-integrated client setting.
The “Reset Expiration” button will display before or while a patient is taking an at-home assessment. Normally the assessment would expire if the patient had not begun in time or was going through the assessment too slowly. By clicking on this “Reset Expiration” button, the patient would receive more time to start and complete the assessment.
When sending an on-demand at-home assessment, the assessment is shown with the “Resend” button.
After Expiration of the url, the assessment is shown as expired with the “Reset Expiration” button replacing “Resend” button.
When the “Reset Expiration” button is clicked, the assessment will display the “Resend” button.
The “Reset Expiration” button will only be hidden when a new assessment is added to the same track.
The “Reset Expiration” button will not be shown for scheduled at home or on demand at home assessments with a visit.
Scheduled Assessments
Editing Appointments
We have changed how edits to a schedule interacts with at-home assessments. Once an appointment has been made, it can still be edited like normal up until the moment that an at-home assessment has been sent. Once one has been sent to a patient, the appointment can no longer be edited. If there is a decision to make a significant difference in the appoint, the user will have to cancel the already scheduled appointment and make a brand new one. If a user tries to edit the appointment once the assessment has already been sent, then the user will receive an error message informing them of the complication.
Schedule Criteria
We have corrected an issue where all encounters, regardless of the associated organization's scheduled criteria, will respect the “enable_scheduled_surveys” flag on the associated visit type to select for auto at-home delivery.
Scheduling
Recurring Appointments
We have added the functionality for permitted users to be able to create recurring appointments with their patients. When creating a new appointment with a patient, there will be a checkbox labeled “Repeats” underneath the “Start Date/Time” box. By default, this box will be unchecked. We have also added the timezone display on existing timezones for sites:
if the site has not been selected, it defaults to the local timezone
once the site is selected, it updates to the timezone of the selected site
Creating Recurring Appointments
Once the box is checked, the user can choose how frequently in the drop-down to the right of the checkbox. We have added some standard recurring appointments; in the next release, we will add the ability to do custom occurrences:
Every weekday (Monday to Friday)
Weekly on <day> <default>
Every other Week on <day>
Monthly on the <time in month> <day>
The user can determine how a the recurring appointment end:

If there is a non-recurring scheduling conflict, a notification will display while the appointment is being created:

Editing/Cancelling Recurring Appointments
Once created, the user is able to edit or cancel either individual appointments or the selected appointment and all future appointments through the “Affects” drop-down:
When appointments are scheduled, any availability that was scheduled for that timeframe is no longer shown as available for the applicable time slot(s). If an appointment is cancelled where availability previously existed, that time will become available again.
Appointment Card
Once the appointment is made, the appointment card on the Scheduling Tab will have a repeat icon, reminding the user that the appointment repeats, as well as a reminder of when it occurs and for how long.
Confirming Recurring Appointments
Once the recurring appointment is made, the patient may receive a secure message to confirm their recurring appointment. If the appointment is confirmed, all of the recurring appointments will be confirmed. If the appointment is cancelled, then all of the recurring appointments will be cancelled.
Recurring Appointments on Patient Profile
Once all of the appointments are approved, the Patient’s Profile Visit Tab will have a repeat icon to remind you which of your previous appointments are a part of a series of recurring appointments.
in the next release (v3.39), we will add the ability to do custom occurrences and will include showing conflicts on the Scheduling Calendar in red and be able to filter appoints to only show appointments that conflict. We will also be adding recurring appointment functionality to the Native App in its next release (v.2.4.0).
Recurring Availability
Creating recurring availability previously existed, but we have extended the ability for recurrence to a provider’s availability. Similar to the recurring appointments, when a permitted user is creating new availability, there will be a checkbox labeled “Repeats” underneath the “Start Date/Time” box. By default, this box will be unchecked.

Once the box is checked, the user can choose how frequently in the drop-down to the right of the checkbox. Underneath, the user can determine how the recurring appointment will end (Date, Occurrences, Never).
Availability Card
Once recurring availability has been created, the availability card on the Scheduling Tab will have a repeat icon, reminding the user that the availability repeats, as well as a reminder of when it occurs and for how long.
Scheduling Filters
In the Scheduling Tab, we have added new filters to better understand the appointments you have scheduled. The following filter options will be available:

Holds
If the Appointments filter is chosen, the calendar will display all appointments that are confirmed AND all the appointments that were neither confirmed or not confirmed (for example, appointment confirmation is sent via email where the patient cannot confirm).
The Confirmed Appointments will show the appointments that have been sent via text message or email confirmation that have been confirmed by the patient.
The Unconfirmed Appointments will show the appointments where a text message or email confirmation has been sent, but has not yet been confirmed by the patient.
The Availability and Holds filters will be the same as same as before with no changes.
Appointments Scheduled in the Past
Certain customers using Tridiuum ONE Connect (Call Center) were able to schedule appointments in the past. We have corrected this and now the appointments made should only be for times in the future.

User created an appointment for a time a few hours prior to the time the appointment was created.

Users will not be able to schedule appointments in the past.
Scheduling Page Loading
We corrected an issue with the page display (rendering) on the scheduling page where it would display as blank. The issue was occurring when:
Availability was unchecked from the filters.
The page was refreshed.

Security
Password Expiration
We have made the following updates to password expiration for increased security:
We have upgraded our security regarding password protection. All passwords in all organizations will now expire after 30 days. After 30 days have elapsed, if the user hasn’t changed their password on their own, they will be prompted to change their password before they can continue to the webpage.
Due to increased security, we now ensure that accounts in use by Cloverleaf don't have their password reset via an attempt to login via the web.
We have increased our security measures for the organizations that already utilize password expiration. Users with expired passwords will be sent an email, thus significantly reducing any chance that someone would use the Password Expiration to change the password without the intended user’s knowledge or consent.

Self-Provisioned/SaaS
We have updated existing and new organizations to utilize our new and improved Adult and Youth Mental Health assessments. These include the full PHQ9 and CSSRS1 questions on intake and update assessments.
Telehealth
We upgraded our Dolby video Web SDK to 3.0.2. Their release resolved some minor bug fixes and performance improvements.
