Clinical Home

Corrected an issue where site administrators could not see providers in the geography/key on the clinical home filter, even when they had access to all sites.

Formatting

Appointment Messaging

We removed duplicated text in English and Spanish messaging for appointment confirmations.

  • Your virtual appointment is confirmed with <Provider FName LName> on <date> at <time>.

    If you need to reschedule, please contact the provider directly.

    To confirm your appointment, select the “Click to Confirm Appointment” button below. To cancel your appointment, select the “Click to Cancel Appointment” button below. If you need to reschedule, please contact the provider directly.

Screen & Refer Configurations

As the screen and referral process evolves, we have adapted the configurations to support the need for multiple referral avenues outside of Tridiuum ONE, as well as using our scheduling engine. These configurations will allow clients to:

  • Access referral pages that allow multiple selections

  • Present a description and frequently asked questions section

  • Book an appointment that is integrated with Tridiuum ONE’s existing scheduling pages or configured with an outside URL to open for that option/provider in a new tab

Org Level Configurations

These features can be configured on any referral page:

  • number of providers/buttons on the page

  • which button is defaulted to be selected

  • instructional text

  • description text of each provider/button (this text will be limited to 500 characters)

  • FAQs for each provider/button

    • they can define up to 8 questions with 60 characters each (60 characters prevents line wrapping)

    • each question can have an answer with up to 350 characters

Skipping the Screener

We expanded screener configurations to be able to skip a screener and select referral options they need to be directed to. The patient must have a BHI in the system in order to use this option, similar to “scheduling override approved.”

  • Users can select the Exit the screener “x” and be presented with an option of “I do not need to screen this patient”.

    • a user being able to select this option is an org level setting

  • When selected, the user is presented with a notification of Tridiuum’s most recent BHI for that patient:

    • the color of the BHI is based on existing color conventions for BHI scores

  • If there is no BHI in Tridiuum for the patient, the user is given the following message:

    • “There is no recent record of a BHI for this patient. Please complete the screener to generate a BHI and see referral options.”

  • Under the notification of recent BHI there is a dropdown with prompt text “select a referral option”

    • the dropdown contains all referral configurations for that organization

  • When the user selected a referral option, they are taken to that referral page.

  • Under the referral drop down there is a place to enter comments.

    • comments are saved to the Screener referral report’s comments section

  • Screener report catalogs that this option was selected by adding to the Comments section:

    • Screener was exited with a reason of “I do not need to screen this patient” and a referral option of <selected referral> was chosen by the user.

  • When a user selects this option, it should be treated the same as “skip the screener” for purposes of reporting on the Screen and Refer dashboard.

Different Types of Appointments

We updated the ability to book different types of appointments, such as medication appointments. These appointments can be specific to a certain type of provider.

  • Created an org level setting on appointment types that designate if that appointment type can be booked through Tridiuum ONE Connect, and therefore also have availability set up as that type.

  • Created an org level setting for appointment types duration that can be set in minutes.

  • Added an appointment type of “Medication Intake 60” and set to 60 mins and flag as an apt type that can be booked in Tridiuum ONE Connect.

  • Updated the existing “Psychiatry Intake 60” to 60 mins and flag as an appointment type that can be booked in Tridiuum ONE Connect.

Permissioned users can:

  • Set up availability and select in the Visit Type drop down either “Medication Intake 60” or “Psychiatry Intake 60”

  • Set the availability can be either virtual or in person or both/either (existing functionality)

  • Set Medication availability to 1 hour increments only:

    • when the user selects a start time, they can only select end times that are in 1 hour increments from the start time (existing functionality)

    • if the user sets up availability of multiple hours, the system creates multiple 1 hour availability slots (existing functionality)

  • Set the Event Type of "Medication Appointment Availability" to show in the short view in calendar views (as much as the character allotment will allow), and in the pop up window when selected

Filter by Different Types of Availability

  • when a filter is selected, then only those types of availability are shown

  • the Appointment Type filter can be defaulted based on the:

    • org level setting

    • referral logic

      • if it’s based on referral logic, then it cannot be changed by the user and shows in a state indicating it cannot be changed

    • if there is only one type of availability set on the org, then the default is the only type and it cannot be changed/is greyed out

  • when clicking on an appointment in the grid, I can see the availability type under the “Appointment Details” title

  • Book the appointment type based on Intake Appointment Availability or Hold

Create Different Appointment Holds

Permissioned users can create an appointment hold with different visit types, such as "Medication Intake 60 ".

  • Medication Intake 60 appointments hold can be either virtual or in person

  • Medication Intake 60 appointment holds are in 1 hour increments

    • when the user selects a start time, then can only select end times that are in 1 hour increments from the start time

  • Visit Type of "Medication Intake 60" shows in the pop up window when selected as the visit type

Self-Provisioned/SaaS Clients

Existing SaaS Organizations

For clients that were created prior to the automated billing component while onboarding, we have updated existing SaaS orgs to have the correct configurations for:

  • Billing Plan

  • Org Permissions

  • Role Permissions

  • Link Org to Merchant ID for automated billing

  • Applicable Discounts are applied

Invoicing with Discounts

We can now automatically invoice SaaS clients with applicable discounts, based on an applied promotional (org level) code and/or subscription plan code.

  • Per our current monthly routine, we create an invoice in Tridiuum ONE and Fattmerchant with line items for:

    • Active users

    • Partial users

    • Overage charges

    • Account upgrades

  • We have added the ability to apply discounts to the monthly invoice via:

    • Plan Discounts

    • Promotional Discounts (internally called Organization Discounts)

  • Each discount will have a separate line item on the invoice.

  • Order of precedence of applying discounts:

    • Plan discounts

    • Promotional discounts

      • If there is more than one, apply them by order of creation date in the discounts table.

    • Note that discounts are applied on the running subtotal. For example if the base charges for an invoice total $250 and the plan offers a discount at 10+ users of 10%, then once that user limit is reached the base charges total would be reduced by $25 (10% of $250) resulting in a remaining subtotal of $225. Now, if there was also a Promotional Discount of 10% for 3 months, then for the first three months, starting with the next billing period after the discount code was applied, the organization would receive an additional 10% off the already reduced $225 or $22.50, resulting in a final total of $202.50.

Manage Users

For SaaS permissioned clients, we have updated Add/Edit users messaging to reflect discount messaging.

  • promo code should reflect when a new user is added, "Please Note: Adding a user will incur an additional charge of <$##.## - pro-rated subscription cost> on your next bill with the payment method we have on file (pro-rated amount for <current month year>). Any applicable promotional discounts or overage costs will be applied as part of your next bill. Please contact help@tridiuum.com if you have any questions.”

  • promo code should reflect when a user is inactive, "Please Note: Re-activating this user will incur an additional charge of <$##.## subscription cost> on your next bill with the payment method we have on file for <current month year>. Any applicable promotional discounts or overage costs will be applied as part of your next bill. Please contact help@tridiuum.com if you have any questions.”

New Manage Subscription Role

We added a new "Manage Subscription” role permission intended for Tridiuum Administrators to apply organizational promotional codes and change subscription plans: Permitted (All Features)

  • Permissioned users can:

    • View the Plan Tier name instead of the client-facing Plan Display Name

    • Upgrade plans, regardless of upgrade configuration or default enrollment plan

    • View and apply a Promotional Org Code

      • Subscription Plan codes will not be valid, as users can change the plan via the drop-down...only org codes apply.

      • Currently, only one promotional code can be added to an org.

      • Some codes may not be able to be combined with other discounts.

  • We have updated the Manage Subscription Permissions for Tridiuum Admins for existing and future orgs.

Onboarding Form

We have integrated the automated onboarding form (with payment) to the Tridiuum.com page.

Subscription Configurations

We added Display Name, Tier Name, and Default Enrollment configurations to subscriptions.

  • Display Name: typically shown to clients

  • Tier Name: typically shown to Tridiuum personnel

  • Default Enrollment Plan = Y or N

    • If Y, the plan gets presented on the onboarding form, package drop-down list

    • If N, it can still be selected by a Tridiuum admin via the "Permitted (All features)" Manage Subscription role

Subscription Plans

We added new default subscription plans and updated existing plans with applicable discounts with appropriate configurations.

Basic
  • Display Name: BASIC - $39.95 per provider per month

  • Tier Name: BASIC - $39.95 (10% discount)

  • Discount: 10% OFF when there are 10+ active users (not including Tridiuum admin users). No expiration.

  • Default Enrollment Plan = Y

    • Best for part-time providers or small practices with 5 therapists or less.

Telehealth

API

We updated the API calls to enable Native App users to create virtual availability and appointments without using Tridiuum ONE’s video platform.

UXKit

Worked on re-developing the Dolby UXKit so we can expand functionality on the telehealth platform.

User Management

We corrected an issue where the default random password assigned to new users didn’t always meet the password requirements.

We updated Manage Users to react, so we can expand SaaS and Tridiuum functionality to be incorporated in a more user-friendly view. Functionality remains identical with the exception of improved consistent behaviors.
