How to Manage your Schedule on Tridiuum ONE

This training document will walk you through how to manage your availability and patient appointments.


  1. Click the link in the email from Tridiuum to take you to the Tridiuum website.  Login to your account with your Tridiuum username and password.  Once logged in, click on the SCHEDULING tab at the top.                                                                                                                                                                                       
  2. To Add Hold, Add Availability or Schedule a Patient appointment, you can click on the +ADD HOLD,  +ADD APPOINTMENT or +ADD AVAILABILITY tabs above the calendar.  You can also click a date on the calendar and input a hold, availability or appointment from there.                                         

  3. To add availability, Click on the +ADD AVAILABILITY button and complete the form as indicated below. 
    1. First select which Site this availability applies to.  If you only have one site, the site box should automatically fill with your site name.  If it does not, please select it from the drop-down before proceeding. 
    2. Next, enter the Start Date/Time and the End Date/Time that you will be available for new intakes.
    3. You can check the Repeat box if you'd like to specify that this availability repeats.
    4. Indicate your availability for In Person appointments, Virtual appointments, or both by checking the corresponding box.
    5. Click CREATE when complete.
    6. Your availability will appear on the calendar in dark blue.                                                 
  4. To add a patient appointment, Click on the +ADD APPOINTMENT button and complete the form as indicated below.
    1. Choose the Site you want to see the patient at.
    2. Ensure you are the provider (will auto populate).
    3. Input the Patient/Group Name (will auto populate).
    4. Next, add your Start Date/Time and End Date/Time you would like to have your patient appointment.
    5. Indicate the type of appointment being made (visit type), and whether it will be an In person appointment or a Virtual appointment.  
    6. Choose the Assessment Type.  
    7. Indicate if appointment confirmation and assessment/video session link should be sent to patient via email, text or both, enter or confirm email/phone number.
    8. Add any additional Notes for your reference.
    9. When complete, click CREATE and the appointment will be made.                             

      Note

      Make sure to select if the session will be in person or virtual.  If you select virtual then select the assessment type, the assessment will be automatically sent to the patient 20 minutes before the scheduled session.  If the patient does not complete the assessment a reminder will be sent to the patient 5 minutes prior to their session. 

      Intake virtual appointments booked by the call center agent will be automatically sent the assessment 20 minutes prior to the scheduled session. 

      If you are using a different platform for the video component of the session.  Schedule the session as a virtual session.  The assessment will send out 20 minutes ahead of the scheduled session.  After the patient has completed the assessment they can just close out of the browser window and open the link for the platform you would like to use for the video functionality of the session.  (Please inform the patient of these steps if you are planning to do this).  

  5. You can filter the calendar to view by Month, Week, Work Week (if you do not work weekends) or Day.  If you want to filter and view your Holds, Availability, or Appointments (either Unconfirmed, Confirmed or Conflicts), click the check marks on the left side to select the desired filters. 

Appointments:

  • If the Appointments filter is chosen, the calendar will display all appointments that are confirmed and all the appointments that were not confirmed.  The Appointments filter also displays conflicts. (for example, appointment confirmation is sent via email where the patient cannot confirm).
    • The Unconfirmed Appointments will show the appointments where a text message or email confirmation has been sent, but has not yet been confirmed by the patient.
    • The Confirmed Appointments will show the appointments that have been sent via text message or email confirmation that have been confirmed by the patient.
    • The Conflict Appointments will show when appointments are booked for the same time.  Conflicts are highlighted in red.

Availability:

  • Display all entered Availability.

Holds:

  • Display all entered Holds.  
Any adjustments you make to this calendar will also appear on the Tridiuum ONE Connect App.  Always remember to Log Out of your applications to protect your privacy.  This will also ensure all your information is up to date the next time you log in.  If you also use the Tridiuum ONE Connect App, reference How to Manage your Schedule on Tridiuum ONE Connect
