How to Schedule Recurring Appointments and Availability

Recurring Appointments

When creating a new appointment with a patient, there will be a checkbox labeled Repeat underneath the Start Date/Time box. By default, this box will be unchecked. We have also added the timezone display on existing timezones for sites:

  • if the site has not been selected, it defaults to the local timezone

  • once the site is selected, it updates to the timezone of the selected site

 

Creating Recurring Appointments

Once the box is checked, the user can choose how frequently in the drop-down to the right of the checkbox.

  • Weekly (on day)

  • Every other Week (on day)

  • Monthly (on the time of month and day)

  • Custom Recurrence

 

If the user selects the Custom Recurrence dropdown, they can specify the daily, weekly, or monthly frequency of the appointments.

Select when you would like the appointment recurrence to end.

If there is a non-recurring scheduling conflict, a notification will display while the appointment is being created:

 

 

If there are multiple conflicts, a notification that will display showing the next 5 conflicts while the appointment is being created:

 

Once the appointment is made, the appointment card on the Scheduling Tab will have a repeat icon, reminding the user that the appointment repeats, as well as a reminder of when it occurs and for how long.

 

Confirming Recurring Appointments

Once the recurring appointment is made, the patient may receive a secure message to confirm their recurring appointment. If the appointment is confirmed, all of the recurring appointments will be confirmed. If the appointment is cancelled, then all of the recurring appointments will be cancelled.

Recurring Appointments on Patient Profile

Once all of the appointments are approved, the Patient’s Profile Visit Tab will have a repeat icon to remind you which of your previous appointments are a part of a series of recurring appointments.

 

Editing/Cancelling Recurring Appointments

Once created, the user is able to edit or cancel either individual appointments or the selected appointment and all future appointments through the “Affects” drop-down:

 

When appointments are scheduled, any availability that was scheduled for that timeframe is no longer shown as available for the applicable time slot(s). If an appointment is cancelled where availability previously existed, that time slot will become available again


Recurring Availability

Similar to the recurring appointments, when a permitted user is creating new availability, there will be a checkbox labeled “Repeats” underneath the “Start Date/Time” box. By default, this box will be unchecked.

 

Creating Recurring Availability

Once the box is checked, the user can choose how frequently in the drop-down to the right of the checkbox. Underneath, the user can determine how the recurring appointment will end (Date, Occurrences, Never).

 

Availability Card

Once recurring availability has been created, the availability card on the Scheduling Tab will have a repeat icon, reminding the user that the availability repeats, as well as a reminder of when it occurs and for how long.
