Preparing for a Video Session

Preparing Your Office

  • Privacy: select a place for your session that is private and free of distractions.

  • Noise Level: ensure there are no noises that could be distracting to you or the patient.

  • Lighting: try to maintain a consistent light source throughout your appointment. Avoid having light sources behind you as this can cause your face to be shadowed.

  • Visual Distractions: your background behind the camera should be free of clutter.

Additional Tips for Success

  • Login into Tridiuum 5-10 minutes before your appointment.

  • Close unnecessary programs on your computer. If too many programs are opened it can reduce the quality of your videochat.

  • Test your video and microphone. Make sure your camera is turned on and nothing is blocking the view and that your microphone is unmuted.

  • Make sure your speakers are turned on and the volume is high.

  • Have an extra pair of headphones in case of audio problems.

Launching On-Demand Video Session

A video session can be launched from the Tridiuum ONE website 3 different ways.

Launch On-Demand Video Session from the Clinical Home (Option #1)

  1. Click Video Session at the top of the Clinical Home Screen

  2. Enter Patient Medical Record Number (MRN)

     

  3. If practicing at multiple sites, select applicable site

     

  4. Select Assessment Type. *Note: An assessment will be sent to the patient with the video session link if they have not already completed an assessment within your organization's allotted timeframe. 

     

     

  5. Select Email, Text, or both by checking corresponding box.

     

     

  6. Enter or confirm Patient’s email address/phone number.

     

     

  7. Click Start Session

     

     

  8. Video Session begins

     

Launch On-Demand Video Session from the Clinical Home (Option #2)

  1. Locate Patient Name on the Clinical Home screen. Click Video Session. 

     

  2. Select your site (if applicable).

     

  3. Select Assessment Type. *Note: An assessment will be sent to the patient with the video session link if they have not already completed an assessment within your organization's allotted timeframe. 

     

  4. Select Email, Text, or both by checking corresponding box. Enter or confirm Patient email address/phone number.

     

  5. Click Start Session. 

     

  6. Video Session begins.

     

Launch On- Demand Video Session from the Patient Detail Page

  1. Click Patient Name from Clinical Home to access Patient Detail Page

     

  2. Click Video Session on top of Patient Detail Page

     

  3. Select your site (if applicable).

     

  4. Select Assessment Type. *Note: An assessment will be sent to the patient with the video session link if they have not already completed an assessment within your organization's allotted timeframe. 

     

  5. Select Email, Text, or both by checking corresponding box. Enter or confirm Patient email address/phone number.

     

  6. Click Start Session. 

     

  7. Video Session begins.

     

Launch On-Demand Video Session from the Patients Tab

  1. Click the Patients Tab from Clinical Home screen.

     

  2. Use Search bar to locate the Patient.

     

  3. Click Play button in the Launch Column to launch video session.

     

  4. Select your site (if applicable).

     

  5. Select Assessment Type. *Note: An assessment will be sent to the patient with the video session link if they have not already completed an assessment within your organization's allotted timeframe. 

     

  6. Select Email, Text, or both by checking corresponding box. Enter or confirm Patient email address/phone number.

     

  7. Click Start Session. 

     

  8. Video Session begins.

     

Scheduling Video Sessions

Schedule Video Session from the Scheduling Tab

  1. Click Scheduling Tab from Clinical Home Screen

     

  2. Click Add Appointment

     

  3. Fill out appointment details

     

  4. You will be reminded of appointment 15 min prior to scheduled video session

     

  5. Click Join Video Session from Appointment Reminder

     

  6. You can also begin the scheduled video session by clicking the Video Session button under the Patient’s name on Clinical Home

     

  7. Or you can begin the scheduled video session by clicking the Video Session button from the Patient Detail Page

     

Schedule Video Session from the Visit Tab

  1. Click Patient Name from Clinical Home to access Patient Detail Page

     

  2. Scroll down to Assessments and click Visits Tab

     

  3. Click Add Visit

     

  4. Fill out appointment details

     

  5. You will be reminded of appointment 15 min prior to scheduled video session

     

  6. Click Join Video Session from Appointment Reminder

     

  7. You can also begin the scheduled video session by clicking the Video Session button under the Patient’s name on Clinical Home or from the Patient Detail Page

     

  8. Or you can begin the scheduled video session by clicking the Video Session button from the Patient Detail Page

     

Interacting with Tridiuum ONE while video session is in progress

You can interact with all pages within the Tridiuum ONE platform while the video session is in progress. View results on Clinical Home, select patient’s name to view Patient Detail Page, or open Scheduling Tab while session remains on the right of your screen.

Hide Video Session View

Click Arrow to hide the Video Session view.

Full Screen Video Session View

Click Box to enter full screen Video Session view.

Change Video Session Layout

Click Change Layout to alter video session view.

 

Mute Audio

Click Microphone to mute/unmute audio.

 

Start/Stop Video

Click camera to start/stop video.

Share Your Screen

During a video session, patients and providers have the ability to share their screen via the share icon. *Patients using an iOS device while using the Safari browser are not able to share their screen.

  1. Click Computer icon to share screen.

     

  2. Choose to share entire screen, single application, or browser. *Make sure you don’t have any PHI on the screen (other than the patient’s) that could be unintentionally shared.

     

     

Ending a Video Session

Click the red phone icon from any view.

Click the red X to end the video session.

*Be sure to save your any work (notes, scheduling, etc.) before ending the video session.

You can click the green phone icon to reconnect if the session was disconnected in error.

 

The Patient’s Perspective

On-Demand Video Sessions

  1. Patient receives an email/text from Tridiuum with a link to an assessment (if applicable) and video session.
    Note: An assessment will be sent to the patient with the video session link if they have not already completed an assessment within your organization's allotted timeframe. 

     

     

  2. Patient completes the assessment (if applicable).

     

  3. Upon completion of the assessment, the patient clicks the button to begin the video session.

     

  4. The patient is reminded to allow microphone and camera on their device and is given instructions for what to do if they are disconnected. Patient clicks Join Video Session.

     

  5. Patient’s video session begins.

     

Scheduled Video Session

  1. Patient receives email/text message from Tridiuum when an appointment is scheduled.

     

  2. Patient can reply to text message to confirm appointment.

     

  3. Patients receives email/text with link to assessment and video session 20 minutes before appointment. *If patient does not need to complete an assessment, or has not yet competed required assessment, email/text with link to assessment and/or video session will be sent 5 minutes before the appointment.

     

  4. Patient completes the assessment (if applicable).

     

  5. Upon completion of the assessment, the patient clicks the button to begin the video session.

     

  6. Patient is put into a virtual waiting room if they attempt to enter the video session before scheduled appointment.

     

  7. Patient is then given the option to Join Video Session 5 minutes  before appointment.

     

  8. Patient’s video session begins.

Frequently Asked Questions

What if I get disconnected?

If you are disconnected, click the green phone icon on the video session pane to reconnect to the session.

If your browser screen is lost when disconnection occurs, return to the Patient Detail Page and click Video Session.

What if my patient gets disconnected?

If your patient is disconnected from the video session, they will return to this landing page. The patient can click Join Video Session to reconnect.

 

If the patient’s browser screen is lost when the disconnection occurs, the patient can return to their Tridiuum email/text and click the link to reconnect.

Will my video session automatically end after a certain period of time?

  • As long as both you and your patient are on the video session, the video session will not end.

  • If one of you leaves the session, the session will be available within 75 minutes of starting the session. If you end the session and it is after 75 minutes, you will need to start a new session.

When can I launch the video session?

Video sessions can be scheduled in advance or launched on demand.

Can I have more than one patient on the video session?

Yes, Tridiuum supports Group Video Sessions. Instructions for using Tridiuum ONE Telehealth for groups can be found here.

Can I use T1 Connect to launch a video session?

Yes. Instructions for launching a video session from the Tridiuum ONE Connect iPad application can be found here.

What devices and browsers support video sessions?

  • Any tablet, computer, or phone(1) with Internet access(2) running a supported browser

  • Supported web browsers: Safari 12(3), Chromium based (Chrome or Edge), Firefox (latest version)

  • Camera, microphone and speakers, integrated or external

  • Headphones recommended

(1) Phone option currently only available for patients

(2) LTE or cable connection highly recommended

(3) iOS mobil devices must use the Safari browser.

Do I (or my patient) need to download a plug-in to use the video session?

No. The video component is completely browser-based and very easy to use.

Why does my browser keep asking me to “allow” access to my camera/microphone?

Different browsers have different prompts to allow just for this session or every time you visit the website.

Firefox

Firefox has a checkbox that you can select so that you don’t need to “allow” camera or microphone access every time.

Safari

Safari prompts you to allow for just the initial session.

If you don’t want to get this prompt every time, you can click the micro (or camera) to always allow access for this website.

Chrome

What if my patient loses the email/text message with video session link?

If a patient loses their email/text, you can now resend the information to your patient via the Patient Profile Visits tab.

  1. From Patient Detail Page click Visits Tab.

     

  2. If the session is not expired or completed, you can click Resend.

     

  3. You can correct an email address/phone number or send as is. *You will not be able to change the assessment selected.
